Office & Human Resource Manager
Sauti Yetu Center for African Women, inc
The Office and Human Resource Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
The Office Manager reports to the Executive Director and is responsible for providing office management services to the Sauti Yetu Office. This includes maintaining office services and efficiency, supervising office staff/interns and maintaining office records.
•Support Bookkeeper in managing accounts payable, benefits administration and other HR/personnel requirements;
•Assist with recruitment efforts, new hire orientations, on-boarding, and terminations;
•Provide general administrative support to program staff and management;
•Liaise with landlord and building management on any office-related issues;
•Liaise with outsourced IT consultant on all technology-related issues, including rapidly responding to staff problems, network outages;
•Set-up staff meetings and maintain staff calendar and organize team events;
•Answer and direct calls and emails of a general nature;
•Maintain physical and electronic office filing systems;
•Provide general support for Sauti Yetu events as needed (especially around Sauti Yetu’s major conferences);
•Ensure office supplies are filled and office equipment is in working order;
Human Resource Manager:
•Maintain Personnel (Staff, Consultants, Interns, & Volunteers) file management and database
•Monitor Consultants’ hours, schedule and payment
•Assist with recruitment efforts, new hire orientations, on-boarding, and terminations
•Process internal, legal, financial or any other paperwork needs for Personnel
•Assist in the development and implementation of Personnel policies, procedures and materials
•Coordinate performance evaluations
•Maintain Benefits management for staff (e.g., medical insurance)
•Create, collect, and review timesheets for Personnel; track and monitor Leave for Staff; process payroll
•Organize events supporting employee morale and appreciation.
•Answer all questions from personnel about any of the above categories
•Answering the phone; taking messages.
•Send out information or announcements through the Sauti Yetu listserve.
•Research cost comparisons for products or services needed.
•Monitor and track expenses for supplies, petty cash, metro cards
•Lead or assist with all event planning; organizing resources, implementing logistics, working within a budget
•Attend trainings on topics such as (but not limited to): organizational development, change management, core competencies enhancement, IT related workshops.
•Attend community social or networking events (on small occasions, may involve some nights or weekends).
•Maintain Vendor (financial institutions, building management, businesses providing supplies or services, etc.) file management and database; address vendor correspondence and communications.
•Work with IT consultant on any computer/server related needs or issues.
•Communicate with vendors ensuring various needs or services for the organization are met.
•Troubleshoot minor operational needs or problems such as: IT hardware or software, office/building maintenance, supplies, etc.
•Make purchase orders for supplies needed for the office or Personnel
•Maintain knowledge of inventory and all resources stored in the Office.
•Ensure office space and operations are in accordance with local/state/federal compliances Bookkeeping:
•Assist in processing Accounts Payable using Quick-Books;
•Interact with Sauti Yetu’s finance officer, auditor and vendors;
•Maintain vendor and account records, and assist in audit preparation;
•Ensure compliance with Sauti Yetu corporate governance standards.
•Bachelors Degree required or equivalent of experience a must. Master degree plus
•Have at least 1 - 3 years of experience working for a non-profit businesses/organizations;
•Have an extremely high level of professionalism and organizational skills;
•Be highly detail-oriented and self-directed;
•Be comfortable with Office Manager functions, most notably basic bookkeeping, managing accounts and vendor relationships;
•Be able to multitask effectively and be comfortable shifting/calibrating emphasis across the three work-stream functions as required on a day-to-day basis (i.e. across Executive Assistant/Office Manager/Bookkeeping functions);
•Be comfortable working in a small, fast-paced organization;
•Be proficient with QuickBooks and Microsoft Office products (Outlook, Word, Excel, and PowerPoint).
•Be at ease working with, and highly sensitive to, a broad, multinational and multicultural staff and client base and other constituencies.
