Position Summary Responsible for office operations, website development & maintenance, and Pratt Center's in- house Information Technology and Facilities Management needs. Also works with Pratt Center senior staff to develop and implement communications strategies
Supervise Pratt Center Office Manager and general office administrative interns, any of whom can be deployed to fulfill tasks and duties for which the A.M. is responsible. Serve as liaison to Pratt Institute Student Employment, Internship and Financial Aid departments regarding the engagement of students Oversee hiring and management of undergraduate work/study interns, including job descriptions, hiring paperwork Responsible for ensuring all administrative needs of staff are met, including supplies, keys, desks/computers/phones, clean team, holiday décor, plants, & petty cash Manage contracts of major equipment including copiers, plotter, printers, laptops, projectors Provide routine administrative support to Director and Deputy Director, i.e., schedule appointments/events/meetings, generate correspondence and mailings, etc., as needed Schedule and coordinate All-Staff Meetings & Events
Post to and update the Pratt Center website, www.prattcenter.net, and related sites Manage the Vertical Response database/s and work with Pratt Center Senior Staff to investigate potential other database options Assist Pratt Center Senior Staff in the coordination of events, including the 50th Anniversary Support Pratt Center Senior Staff in the development of a communications strategy for the organization, including web, print media and social media. Support may include research, organizing discussions and meetings, etc. Assist with communications projects including preparation and distribution of quarterly newsletters, press releases, etc.
Responsible for ensuring I.T. needs of Pratt Center staff are met Serve as liaison to Pratt Institute I.T. department Serve as liaison to Intermedia and manage their contract as Pratt Center’s Outlook/Exchange provider Coordinate the work of Pratt Center’s I.T. Consultant and manage his contract Maintain inventory of computers/software Oversee upgrade of staff computers and phones as needed Oversee computer set-ups for incoming interns and Fellows Oversee updates to software on staff computers, executed by I.T. Provide general oversight to Information Systems activities
Responsible for ensuring Facilities needs of Pratt Center staff are met Serve as liaison to Pratt Institute Facilities department Coordinate Facilities-related changes to Pratt Center offices as needed
Serve as liaison to storage facility with PC archives Responsible for continued archiving of files Oversee photo archiving project
All other duties as assigned.
Experience and Qualifications
Education: Bachelors Degree in Public Administration, Non-Profit Management, or a related field. Educational background in Urban Studies, Urban Planning or a related field a plus. Masters Degree in a relevant field a plus.
Experience: 3-5 years operations and administrative experience, experience supervising diverse professionals.
Skills: Project management, personnel management, strong writing and communication skills, strong interpersonal skills, strategic problem solving and analytic skills, ability to improve and implement systems for successful office operations.
Other: Team player, sense of humor and patience are desired.
