Job Summary:

Under the supervision of the Vice President, Resource Development/Northeast, the Resource Development Coordinator/Northeast is a key member of the development team, managing administrative duties, tracking financials (revenue and expenses), as well as special projects that directly and indirectly bolster BGCAs fundraising effort, specifically in the areas of foundation, corporate development and special events as needed. In addition, the Resource Development Coordinator/Northeast is responsible for performing a variety of administrative tasks supporting multiple people in support of the Resource Development department.

Duties and Responsibilities:

Administrative Support:

•Perform primary support to the Vice President, Corporate & Foundation Relations, and two regional Directors of Corporate Development.
•Provide backup administrative support to Vice President, Resource Development/Northeast as needed.
•Provide administrative support in all areas of responsibility including scheduling, preparing documents, filing, scanning, faxing and photocopying.
•Prepare accurate, concise meeting agendas and minutes with emphasis on goals, action items, roles and deadlines.
•Complete transmittals thoroughly and with accuracy within two business days of request or receipt of gift/pledge.
•Provide routine electronic filing of departmental documents; ensure all files, and other related records are accurate, up-to-date and well maintained in shared drives.
•Produce well-written, accurate PowerPoint presentations and corporate decks using graphics, tables, charts and other advanced features to maximize visual impact.
•Produce error-free letters, agendas, brochures, memos, expense reports and other documents as required.
•Provide high level professionalism support and logistics coordination for donor and prospect meetings.
•Coordinate meeting arrangements including teleconference calls and onsite meeting logistics such as accommodations, catering, etc.
•Assist with developing budgets for foundation grants and corporate projects, working with financial services to monitor spending and expenses.
•Produce check requests and monitor the status of payments.
•Maintain and update supplies for department as needed.
•Handle day-to-day operations such as answering telephones, screening calls, responding to routine inquiries, ensuring prompt and accurate forwarding of messages. Foundation & Corporate Support:

•Provide prospect research using the web, Foundation Center on line, Hoovers and Lexis Nexis.
•Provide Common Ground data entry, including gift entry, proposals, and contact information updates. Provide reports from Common Ground as needed.
•Develop briefings for BGCA leadership in preparation for donor meetings and visits in conjunction with fundraisers
•Maintain prospect and donor files with current activities and reporting needs.
•Capture on going moves management activities and record in database in a consistent manner using BGCA guidelines.
•Track and provide stewardship reminders, capturing fundraiser’s activities in the database.
•Work with financial services and fundraisers to track all grant budgets and provide updates on a monthly basis.
•Research updated funding opportunities for the foundation team on a quarterly basis.
•Assist both Director(s) of Development/Corporate with grant management activities as described above.
•Provide reports from Common Ground.
•Gather and monitor funding information for grants and sponsorships.

Event Support:

•Assist with the Northeast Gala event during specified timeframes.
•Assist with regional events as needed.
•Provide Common Ground reports as needed for regional fundraising activity.
•Attend and assist with regional events and trustee meetings. Other:

•Assist in coordinating various related projects, operations and other special assignments as assigned by Vice President, Resource Development/Northeast.
•Demonstrate BGCA mission driven values of integrity, excellence and inclusion and integrate into work environment and ways of work.
•Adhere to organizational policies and procedures as described in BGCA's Employee Handbook, Ethics Policy and elsewhere.


Associate’s degree or education/experience equivalency.


Minimum three to five years of experience, preferably in development, including donor interfacing, prospect research and cultivation, report generation, data entry/analysis, project management, and proactive in determining administrative support for the resource development team.


Ability to organize, balance and implement work flow to provide proactive administrative support. Strong communications skills, telephone and interpersonal skills, and an ability to manage multiple projects. Demonstrated high standards of ethics and integrity. Excellent composition, proofreading, and editing skills. Intermediate Microsoft Office and donor database (Common Ground preferred) skills a must. Ability to oversee financial tracking. Ability to use independent judgment, discretion, and sensitivity in dealing with confidential information. A self-starter, able to anticipate needs and devise solutions.

Environmental and Working Conditions:

Normal internal office environment.

Physical and Mental Requirements:

Ability to carry out simple and detailed instructions; ability to effectively interact with management, donors, colleagues, local Club staff and others; provide excellent internal and external customer service; and ability to perform a variety of duties and to prioritize tasks to meet organizational needs. Physical requirements include ability to sit for six to eight hours a day; sight, hearing and skills essential for successful communications include speaking; ability to bend and stop; occasionally lift one to three large boxes weighing 10-20 lbs., and use manual dexterity skills for filing, answering phones and general office work.
