Administrative Assistant

Description
Lott Community Development Corporation is currently seeking an energetic and highly skilled Administrative Assistant to provide administrative support to the Executive Director. The Administrative Assistant will manage the office, handle typing and filing, answer telephones and greet visitors, order and distribute supplies, and maintain communications between Senior Management and site staff.

Responsibilities:
1.Use Microsoft Office programs to produce forms, letters, memos, reports, mailing lists, and other required documents for Executive Director.

2.Develop and maintain filing systems, both manual and electronic.

3.Handle and screen visitors and telephone calls for the Executive Director. Answer and take action on telephone and face-to-face inquiries from residents, community members, and government agencies. Refer problematic situations to Executive Director and assess priority of response and immediacy of response.

4.Assist with completion of necessary statistical reports as requested.

5.Compile statistical information for Executive Director as requested.

6.Order office supplies and monitor inventory.

7.Update and maintain mailing lists.

8.Produce mailing labels and reports as requested.

9.Maintain appropriate interpersonal relationships with residents, employees, and other internal and external clients.

Qualifications:
1.Minimum two years clerical or administrative experience.

2.Experience working for a non-profit organization.

3.Proficiency with Microsoft Office software (word, excel, PowerPoint).

4.Knowledge of general office machines and telephone system.

5.Strong written and verbal communication skills.

6.Ability to multi-task and prioritize tasks to ensure that goals and deadlines are met.

7.Ability and willingness to work cooperatively with others.

8.High degree of discretion dealing with confidential information.

9.Bi-lingual Spanish speaker a plus.

10.Excellent customer service skills.
