Finance and Administration Associate

The Finance and Administration Associate (FAA) will report to and work closely with the Director of Finance and Administration to build an administrative structure and streamline our financial management processes.
Financial: This position will assist the Director with the day-to-day management of fiscal operations. This includes items such as facilitation of reimbursements and vendor payments, expense report processing, bookkeeping, and the coordination of grants/contracts receivables. This position will also help the Director figure out ways to improve our financial systems and their efficiency.
Administrative: Working with the Director, this position will manage organizational deadlines and coordinate with staff to complete funder specific reporting requirements, process effort and vacation reporting, and help create and disseminate HR and Administrative Policies.
Other Administrative Support and Scheduling: This position will also be responsible for providing executive administrative support for our Executive Director. This includes making travel arrangements, scheduling meetings, tracking and filing expense reports and effort reports, and other organizational tasks. As our organization continues to grow, you will need to be comfortable taking on a wide variety of assignments as our needs evolve.
Three to seven years of experience in a similar position;
Bachelor's Degree preferred;
Grants Administration or Financial Administration experience is a plus;
Ability to work effectively in teams and in diverse settings, ranging from nonprofits to financial institutions, and interact with field staff as well as senior management;
Strong communication skills (written, oral and graphic);
Excellent organizational skills and demonstrated ability to handle multiple tasks, work independently as well as manage a team;
Self-initiative and resourcefulness in completing projects in a timely manner; Adept at financial statement analysis and preparation, as well as a basic understanding of accounting, auditing, regulatory requirements and industry practices;
Ability to work under pressure amid tight deadlines;
Strong analytical and computer skills;
Self starter, who takes ownership and responsibility for job functions;
High proficiency with Microsoft office applications, especially Excel.
